Uploading CVs
Every CV you upload becomes a candidate profile in your CV Bank. You do not need to retype anything or follow a template.
What you can upload
| Rule | Limit |
|---|---|
| File type | |
| File size | Up to 5 MB per file |
| Files per upload | Up to 10 at a time |
For the best results, use a PDF that contains real text. A scanned image of a CV saved as a PDF often cannot be read.
Three places to upload from
Where you upload decides what happens next.
| From | Use it when | What happens |
|---|---|---|
| CV Bank | You want to add candidates without a role in mind | The CVs are added to your CV Bank |
| A job card on Job Descriptions → Upload CVs | The candidates applied for that role | The CVs are added and linked to that job |
| Shortlisting → Add CV | You are in the middle of matching for a role | The CVs are added, and can be scored straight away |
From the CV Bank
- Open CV Bank.
- Add your file or files:
- One CV: drop a PDF onto Drop a CV here or click to upload, or select Add CV.
- Several CVs: select Bulk Upload and choose up to 10 files.
- Wait while the status reads Uploading CV... and then Extracting details from the CV....
When it finishes, the candidates appear in the list.
From a job description
- Open Job Descriptions.
- On the job's card, select Upload CVs. The job must be Active.
- Drag your PDF files in, or click to browse. You can select several at once.
- Start the upload.
These candidates count as applicants for that job, which matters when you choose Job CVs Only during matching.
From Shortlisting
- Open Shortlisting and select the job.
- Select Add CV.
- Add your files.
- Leave Score against this job description after upload ticked if you want the new candidates scored as soon as they are ready.
Watching progress
Processing a CV takes a little time. While files are being processed, the upload panel shows AI Processing Status and Overall Progress, with a line for each file. You can keep working on other screens while it runs.
The panel counts files as Queued or Failed, and lists any that failed under Failed Files.
Trying a failed file again
Next to a failed file, select Retry to process it again. This is worth doing once: a failure is sometimes temporary.
A file can be retried up to three times. After that it is marked "Failed permanently after 3 attempts". Fix the file using the table below and upload it again as a new file.
If a file fails
| Message | What it means | What to do |
|---|---|---|
| "This PDF looks password-protected or locked." | The file cannot be opened without a password | Remove the password and upload it again |
| "We couldn't read any text from this PDF. It may be a scan." | The PDF is an image, not text | Ask for a text-based PDF |
| "This file appears to be corrupted or unreadable." | The file is damaged | Re-export the PDF and upload it again |
| "Duplicate files skipped." | The same file was selected twice | Nothing; the duplicate was left out |
| A message about files being too large or the wrong type | The file breaks one of the limits above | Convert it to PDF, or reduce its size |
After the upload
Open the candidate and read through the profile once. If anything could not be confirmed automatically, the profile is marked Needs Review. See Candidate profiles.
